Deactivate and Reactivate Members
📌 Overview
When someone leaves your organization or goes on extended leave, you can deactivate them instead of deleting them. Deactivating hides the member from your default views and frees up their seat, while keeping all of their training, enrollments, completions, and certificates intact for audits. You can reactivate them at any time and everything is restored on the same record.
Step 1: Open Your Members List
Go to the Settings page and open the Members tab (/settings/members) to see everyone in your organization.
Step 2: Deactivate a Member
Find the member you want to remove from active use and choose Deactivate. To deactivate several people at once, select them with their checkboxes and click Deactivate Selected. Deactivated members are hidden from your rosters, groups, and analytics, and no longer count toward your active members.
💡 Tip: Deactivating is non-destructive — the member's training history and certificates are preserved, so you can safely deactivate anyone who no longer needs access without losing their records.
Step 3: View Deactivated Members
By default, deactivated members are hidden. Turn on Show deactivated to include them in the list — they appear with a Deactivated label so they're easy to spot.
Step 4: Reactivate a Member
With Show deactivated on, find the person you want to restore and choose Reactivate, or select multiple people and click Reactivate Selected. They return with all of their original training history intact.
💡 Tip: Reactivating restores the same record, so returning employees keep their past completions and certificates — no need to re-enroll them from scratch.
💡 Tips
Use deactivation instead of deletion for anyone who might return, so their history is always available.
If your organization is connected to an HRIS, employees marked inactive there are deactivated in Quinn automatically rather than deleted — see Connect HRIS.
To permanently remove someone and their data, use the separate delete action instead of deactivation.
