How Quinn integrates with ADP

ADP Workforce Now, ADP RUN, ADP Next Gen, and ADP DECIDIUM

Does Quinn integrate with ADP?

Yes. Quinn supports read-only roster synchronization from ADP Workforce Now, ADP RUN, ADP Next Gen, and ADP DECIDIUM. New hires are added to Quinn, job title and location changes update their training groups, and people marked inactive are deactivated. Quinn courses can also be exported for use in compatible learning systems. Available fields depend on your ADP product and configuration.

The request from ADP teams is usually simple. When someone is hired, put them in the training system. When they leave, take them out. And don't make anyone do it by hand.

Quinn does that. Once it's connected, your Quinn roster follows your ADP roster, and Quinn takes care of the training itself: courses built from your SOPs, sent to techs' phones, with a record that they finished. There are three ways to use Quinn with ADP, and you can combine them.

Option 1: Sync your ADP roster into Quinn

This is the part ADP teams usually ask about. Quinn reads your employee data from ADP once a day and keeps your Quinn members and groups in step with it.

What syncs from ADP

  • Employees: name, work email, and mobile phone number. Many field techs don't check a work inbox, so the mobile number lets Quinn send training links by text, with no app to download.
  • Employment details: job title, employment status, and manager.
  • Locations: each employee's work location.
  • Groups: ADP groups such as departments, which you map to Quinn groups. What's available depends on your ADP product and setup.

What happens automatically after that

  • New hire in ADP → added to Quinn. Active employees are created as learners with their job title and location, and placed in their groups. If a group has an onboarding program, first-week training starts on its own. Welcome emails go out too, if you turn them on.
  • Title, manager, or location change → training follows. Quinn can build groups from job title, manager, and work location. When one of those changes in ADP, Quinn moves the person into the matching group and its training, and out of the old one.
  • Department change → added to the new group. Groups you map from ADP, such as departments, only add people. When someone joins a mapped ADP group, Quinn adds them to the matching Quinn group, but it doesn't take them out of the old one. Remove them from the old group by hand, or use title, manager, or location groups for training that should follow people both ways.
  • Someone leaves → deactivated in Quinn. Employees marked inactive in ADP are deactivated on the next sync. As a safeguard, Quinn pauses automatic offboarding if one sync would remove an unusually large share of your organization.

Title, manager, location, and group changes carry over when Automatically propagate HRIS data to Quinn is turned on.

Quinn never changes anything in ADP. The roster connection only reads data, so it can't edit employee records.

Option 2: Run Quinn courses inside your LMS

If your company already uses an LMS for required courses, whether it's a learning module in your HR suite or a standalone system, you can run Quinn courses there. From Share & Export on any course, Quinn exports a SCORM 1.2, SCORM 2004, or cmi5 (xAPI) package for compatible course types. Upload it to any LMS that accepts those formats, and the LMS records completion, pass or fail, and score. The passing score comes from the course's threshold, which is 80% unless you change it.

There are two kinds of package:

Live package (recommended)

A small file that loads the hosted Quinn course, so updates you publish in Quinn reach learners without a re-upload. The course title and passing score are set when you export.

Pop-out Experience opens the course in its own window, where voice and interactive features work normally. Stay in LMS plays inside the LMS window with voice off, and isn't available for courses with scenario or roleplay blocks. cmi5 packages always open as a pop-out.

Self-contained package (beta)

A SCORM 1.2 file with everything inside it, including media and pre-rendered voiceover, for IT teams that require fully self-contained content. Roleplays and scenarios become read-only, and live AI features such as voice roleplay and AI chat aren't available offline.

You own your content, and compatible courses can be exported at any time. Live packages depend on continued access to the hosted Quinn course; self-contained packages don't. See running Quinn courses inside your LMS for the details.

Option 3: Send completions to your system of record

If you train in Quinn but want completions recorded somewhere else, Quinn can send a course.completed webhook each time a learner finishes a course. Your HRIS team or integration partner can route that event into a downstream workflow. Webhooks live under Settings → Developer → Webhook Endpoints once your Quinn team turns on developer settings for your account.

This is not native, two-way write-back to ADP. The roster connection stays read-only.

How to connect ADP

The clicking takes a few minutes. What surprises people is who has to approve it. At many companies, ADP access sits with HR or payroll rather than IT, so the person who authorizes the connection is usually your ADP admin on that team. Bring them in early.

  1. In Quinn, go to Settings → Integrations and click Connect HRIS.
  2. Under HRIS Provider, choose your ADP product.
  3. Your ADP admin follows the prompts to sign in and authorize Quinn.
  4. Quinn runs the first sync.
  5. Open Configure Mappings and map ADP groups, such as departments, to Quinn groups. Use Preview to check the result before you save.
  6. Review your members and groups, turn on welcome emails if you want them, and launch.

Common questions

Will people who leave be removed automatically?

Yes. When an employee is marked inactive in ADP, Quinn deactivates them on the next daily sync, so nobody has to remember to do it. If a record is deleted from ADP instead, Quinn deactivates the member only when Deactivate member when removed from HRIS is turned on. Quinn also pauses automatic offboarding if one sync would remove an unusually large share of your organization, which helps protect against an accidental bulk change.

What if ADP access is going to take a while?

Don't wait on it. Invite a pilot group directly in Quinn, then connect ADP once access is approved. Quinn matches synced employees to existing members by email, so pilot learners keep their training history.

ADP runs payroll and your employee records. Quinn is where your team learns the job itself: how your company services a rooftop unit, how your CSRs book a membership call, how to calm an upset homeowner. Quinn builds that training from your own SOPs, manuals, and videos, and ADP keeps it pointed at the right people.
