How Quinn integrates with Paylocity
Does Quinn integrate with Paylocity?
Yes. Quinn supports read-only roster synchronization from Paylocity, so employee status, job title, manager, and work location keep Quinn membership and training groups current. Paylocity groups such as departments can be mapped to Quinn groups. Quinn courses can also be exported for use in compatible learning systems. Available fields and groups depend on your Paylocity configuration.
Paylocity comes up often with the field-service and trades teams we talk to, and the first question is usually simple: does it connect?
It does. Once Quinn is connected, Paylocity decides who needs training and Quinn delivers it. Below is what syncs, what happens when someone changes departments, and how Quinn fits next to Paylocity's own learning features. There are three ways to use the two together, and you can combine them.

Option 1: Sync your Paylocity roster into Quinn
Quinn reads employee data from Paylocity on a daily sync and uses it to keep your Quinn members and groups current.
What syncs from Paylocity
- Employees: name, work email, and mobile phone number, so training links can go out by text.
- Employment details: job title, employment status, and manager.
- Locations: each employee's work location.
- Groups: Paylocity groups such as departments, which you map to Quinn groups. Department isn't synced as a field on its own; it comes through this mapping. Which groups are available depends on your Paylocity setup.
What Quinn does with it
- New hire in Paylocity → onboarding starts. Active employees are created as learners and placed in their groups. If a group has an onboarding program, the new hire is enrolled without anyone touching it. Welcome emails go out too, if you turn them on.
- Title, manager, or location change → groups update both ways. Quinn can build groups from job title, manager, and work location. When one of those changes in Paylocity, the next sync moves the person into the matching group and its training, and out of the old one.
- Department change → added to the new department's group. Mapped groups only add people. When someone moves to a new department in Paylocity, the next sync adds them to the Quinn group you mapped to that department, along with its training. Quinn doesn't take them out of their old department's group, so remove them there by hand, or use title, manager, or location groups for training that should follow people both ways.
- Someone leaves → deactivated in Quinn. Employees marked inactive in Paylocity are deactivated on the next sync, so your active roster matches your current team. As a safeguard, Quinn pauses automatic offboarding if one sync would remove an unusually large share of your organization.
Title, manager, location, and department changes carry over when Automatically propagate HRIS data to Quinn is turned on.
Quinn doesn't write back to Paylocity. The connection is read-only, so it can't change employee records.
Option 2: Run Quinn courses in an LMS you already use
If your team already uses Paylocity's learning module or another LMS for required courses, you may be able to run Quinn courses there too. From Share & Export on any course, Quinn exports a SCORM 1.2, SCORM 2004, or cmi5 (xAPI) package for compatible course types. An LMS that accepts those formats records completion, pass or fail, and score. Check with Paylocity or your LMS provider which formats your account accepts. The passing score comes from the course's threshold, which is 80% unless you change it.
There are two kinds of package:
Live package (recommended)
A small file that loads the hosted Quinn course. Publish an update in Quinn and learners see it without a re-upload. The course title and passing score are fixed when you export.
Pop-out Experience opens the course in its own window, where voice and interactive features work normally. Stay in LMS plays inside the LMS window with voice off, and isn't available for courses with scenario or roleplay blocks. cmi5 packages always open as a pop-out.
Self-contained package (beta)
A SCORM 1.2 file that carries its own media and pre-rendered voiceover, for teams whose IT requires fully self-contained content. Roleplays and scenarios become read-only, and live AI features such as voice roleplay and AI chat aren't available offline.
You own your content, and compatible courses can be exported at any time. Live packages depend on continued access to the hosted Quinn course; self-contained packages don't. See running Quinn courses inside your LMS for the details.
Option 3: Send completions to your system of record
If you train in Quinn but want completions recorded somewhere else, Quinn can send a course.completed webhook each time a learner finishes a course. Your HR team or integration partner can route that event into a downstream workflow. Webhooks live under Settings → Developer → Webhook Endpoints once your Quinn team turns on developer settings for your account.
This is not native, two-way write-back to Paylocity. The roster connection stays read-only.
How to connect Paylocity
The Quinn side takes a few minutes. Authorization happens with your Paylocity admin, and how long that takes depends on your Paylocity account, so start that conversation early.
- In Quinn, go to Settings → Integrations and click Connect HRIS.
- Under HRIS Provider, choose Paylocity.
- Your Paylocity admin signs in and authorizes the connection.
- Quinn runs the first sync.
- Open Configure Mappings and map Paylocity groups, such as departments, to Quinn groups. Use Preview to check the result, then save.
- Review your members and groups, turn on welcome emails if you want them, and launch.
If the Paylocity side is going to take a while, invite a pilot group directly in Quinn in the meantime and connect Paylocity when it's ready. Quinn matches synced employees to existing members by email, so pilot learners keep their training history.
Common questions
Paylocity already has training. Why add Quinn?
It's a fair question. If your team already uses Paylocity's learning module for required HR courses, that can keep working. HRIS learning tools are often strongest at assigning and documenting standard courses. Quinn is built for the job-specific training field teams need:
- Courses built from your own SOPs, manuals, and videos, not generic content.
- 3D equipment simulations and AI roleplays, so people practice before they do it for real.
- Training links sent by text, with no app to install.
- Completions and scores you can report on, in Quinn or in your LMS.

What if an employee's info is wrong in Paylocity?
Correct it in Paylocity, which stays the source of truth. Quinn picks up job title, manager, and location changes on the next daily sync.
