How Quinn integrates with Workday

Does Quinn integrate with Workday?

Yes. Quinn supports read-only roster sync from Workday, so employee data keeps Quinn members and training groups current without manual updates. Quinn courses can also be exported as SCORM 1.2, SCORM 2004, or cmi5 packages for compatible course types. Whether they run inside Workday Learning depends on which formats your Workday Learning tenant accepts.

Workday is the system of record at many larger companies. Improving frontline training shouldn't mean leaving it, and with Quinn it doesn't: Quinn connects to Workday instead.

Once Quinn is connected, Workday stays the source of truth for who needs training, and Quinn handles the training itself: building courses from your SOPs, sending them to employees' phones, and showing that they learned it. There are three ways to use them together, and you can combine more than one.

Option 1: Sync your Workday roster into Quinn

This is the core of the integration. Quinn reads your employee data from Workday and keeps your Quinn members and groups in step with it.

What syncs from Workday

  • Employees: name, work email, and mobile phone number, so training links can go out by text with no app to install.
  • Employment details: job title, employment status, and manager.
  • Groups: organizational groups from Workday, which you map to Quinn groups.
  • Locations: each worker's work location.

What happens automatically after that

  • New hire in Workday → added to Quinn. Active workers are created as learners and placed in their groups. If those groups have onboarding programs, first-week training starts without anyone touching it. Welcome emails go out too, if you turn them on.
  • Role or location change → training follows. Quinn can build groups from job title, manager, and work location. When someone's title or location changes in Workday, they move to the matching group and its training. Groups you map from Workday add people as they join the Workday group.
  • Someone leaves → deactivated in Quinn. Workers marked inactive in Workday are deactivated on the next sync. As a safeguard, Quinn pauses automatic offboarding if one sync would remove an unusually large share of your organization.

Quinn doesn't write back to Workday. The roster connection only reads data, so it can't change worker records.

Option 2: Export Quinn courses to your LMS

Some teams need every completion recorded in Workday. From Share & Export on any course, Quinn exports a SCORM 1.2, SCORM 2004, or cmi5 (xAPI) package for compatible course types. If your Workday Learning tenant accepts SCORM 1.2, SCORM 2004, or cmi5 packages, you can upload Quinn courses there so completions sit in Workday alongside everything else; check with your Workday admin which formats your tenant accepts. An LMS that accepts these packages records completion, pass or fail, and score.

Live packages load the hosted Quinn course, so updates you publish reach learners without a re-upload. A self-contained SCORM 1.2 package (beta) is also available. See running Quinn courses inside your LMS for package types, voice and roleplay behavior, and passing scores.

Option 3: Send completions to your system of record

If you train in Quinn but want completions in Workday or another system of record, Quinn can send a course.completed webhook each time a learner finishes a course. Your HRIS team or integration partner can route that event into a downstream workflow. Webhooks live under Settings → Developer → Webhook Endpoints once your Quinn team turns on developer settings for your account.

This is not the same as native, two-way write-back to Workday.

How to connect Workday

Setup in Quinn takes a few minutes of clicking. The part that takes longer is getting the right person at your company to authorize it.

  1. In Quinn, go to Settings → Integrations and click Connect HRIS.
  2. Under HRIS Provider, choose Workday.
  3. Your Workday admin completes the authorization steps, so loop them in early.
  4. Quinn runs the first sync. For large Workday tenants, the first pull can take a while.
  5. Open Configure Mappings and map Workday groups to Quinn groups (for example, Workday "Field Service West" → Quinn "Service Techs / West"). Use Preview to check the result before you save.
  6. When your members and groups look right, turn on welcome emails and launch.

Common questions

Do we have to stop using Workday Learning?

No. Workday Learning can keep handling required HR courses while Quinn covers job-specific training: equipment, procedures, safety in your environment, and customer conversations. Quinn builds courses from your SOPs, adds practice such as scenarios, 3D equipment simulations, and AI roleplays, and sends training links by text with no app to install. If your Workday Learning tenant accepts SCORM or cmi5 packages, you can also run Quinn courses there.

What if a worker's info is wrong in Workday?

Fix it in Workday, which stays the source of truth. Job title, manager, and location changes come through on the next daily sync.
